Bloom Bar Booking Agreement
Making Thoughtful Easy. Thank you for booking with Carson Lane. Please read this agreement, then complete the acknowledgment form at the bottom of this page and type your full legal name as your electronic signature. Your booking is confirmed only after we receive both this signed acknowledgment and your reservation retainer, which is paid through the invoice sent with your personalized quote.
This agreement is between Carson Lane | Gifts + Events (“Carson Lane”) and the customer identified in the personalized quote (“Customer”). The accepted quote and booking summary identify the services, equipment, prices, and event details. If a package description conflicts with the accepted quote, the accepted quote governs that item; this agreement governs the general booking terms.
1. Your booking and quote
Your personalized quote will show: event date and location; package; bouquet quantity; included equipment and services; selected upgrades; scheduled setup, event, pickup or return times; itemized price and applicable taxes; reservation retainer; remaining balance and due date; any refundable equipment security deposit; and quote expiration.
Inquiries do not reserve dates. Unless a shorter period is stated in the quote, the quote and provisional date hold expire 72 hours after issuance. Your booking is confirmed only when Carson Lane receives both your signed agreement and your reservation retainer before the stated expiration. Unconfirmed dates may then be released.
2. Reservation and payment
The reservation retainer is 20% of the quoted service/rental total, with a $50 minimum (not exceeding that total). It is credited toward the price, not added to it. The remaining DIY balance is due seven days before pickup; for Styled, Signature, and VIP experiences, it is due 14 days before the event. Bookings made within the applicable deadline require full payment to confirm. Services and equipment are not provided until required payments have been received.
Approved upgrades are documented and invoiced separately. Charges for unexpected work require your written approval before that work begins. An exception applies only to clearly disclosed and documented equipment return, loss, or damage charges under Sections 5–6; these are itemized and invoiced separately.
3. Cancellation and rescheduling
- 30 or more days before the scheduled event/pickup: the reservation retainer is refunded; other payments are refunded less documented, nonrecoverable custom costs disclosed and committed for your booking. Any deduction is itemized and will not be counted twice.
- 15–29 days before: the retainer is retained; other amounts paid are refunded less documented, nonrecoverable custom costs not already covered by the retained retainer. Any deductions are itemized.
- 14 days or fewer before: the retainer is retained; additional payments are refunded less documented nonrecoverable expenses, purchased materials, and services already performed that are not covered by the retainer, subject to applicable law. No expense is deducted twice; an itemized breakdown will be supplied.
- One reschedule requested at least 14 days in advance carries no rescheduling fee, subject to availability. Any pricing or package changes will be confirmed in writing. Requests made later are reviewed individually.
If Carson Lane cannot provide the booked services, a suitable alternative may be offered. If none is agreed, payments for unprovided services will be refunded. For events prevented by circumstances beyond either party’s reasonable control, we will first explore rescheduling; any refund will account for services not provided and documented, nonrecoverable costs, subject to applicable law.
4. Event access and flowers
The Customer provides accurate event details, required venue permission, safe and adequate setup space, agreed access times, and nearby water when supplying flowers. Package, location, timing, bouquet quantity, floral colors, or equipment changes must be approved in writing. Bouquet counts and colors are finalized 14 days before the event unless the quote specifies another deadline.
DIY and Styled packages do not include fresh flowers unless the quote specifically adds them. Customer-supplied flowers must be event-ready at the agreed setup time: unpacked, separated, trimmed to desired length, and prepared for display. If preparation is needed, Carson Lane may offer processing starting at $75 for up to 25 bouquets, only if time permits and after the Customer approves the charge in writing. Carson Lane is not responsible for the condition of customer-supplied flowers.
Signature and VIP experiences include standard seasonal flowers, with approximately six to eight stems per bouquet; premium blooms, extra stems, or special requests require a revised quote. Comparable seasonal substitutions may be made when a selected flower is unavailable.
5. Service scope, delivery and equipment use
Delivered packages include travel within 20 driving miles of ZIP 33772; 20–35 miles adds $40, and longer distances require a custom quote. Standard Styled events include a maximum four-hour event window unless otherwise quoted. Setup and breakdown times are agreed in advance. Delays, additional event time, and special venue conditions may require a separately approved charge.
DIY rentals are generally for 24 hours at the pickup and return times listed in the quote. Alternative times or extended rentals require advance approval. The Customer is responsible for rental equipment while it is in their possession or control, including loss or damage caused by guests or other vendors, except to the extent caused by Carson Lane. Please report pre-existing damage promptly with photos. Return all items clean, complete and in substantially the condition received, allowing for ordinary wear.
For DIY returns, there is a 30-minute grace period. After that, the late fee is $50 per hour, capped at $150 for the first additional 24-hour period; further extended use must be approved and may incur an additional daily rental fee. Documented direct losses caused by an unapproved late return are addressed separately, only where permitted by the agreement and applicable law.
Missing or damaged items beyond ordinary wear are billed at the disclosed itemized replacement/repair rates provided with the booking.
6. Refundable equipment security deposit
DIY rentals and other approved arrangements where equipment remains in the Customer’s care require a refundable equipment security deposit. The exact amount is shown separately in your quote; it is not part of your rental price or booking retainer. It is due with the final balance. No security deposit applies to a standard delivered event where Carson Lane retains responsibility for setting up and collecting its equipment, unless the accepted quote expressly provides otherwise.
After equipment is returned and inspected, Carson Lane will initiate the refundable balance of the deposit within five business days. Any deduction will be limited to documented late-return charges or missing or damaged items beyond normal wear, and an itemized explanation will be supplied. If approved charges exceed the deposit, any remainder will be invoiced separately.
Payment-provider posting times may vary. No blanket authorization to charge a stored payment card is created by this agreement.
7. Outdoor events and general responsibility
Flowers and equipment can be affected by heat, direct sun, wind and rain. The Customer must provide a reasonably safe, accessible location and appropriate weather protection while equipment is in the Customer’s care. Canopies and umbrellas provide limited shade, not weatherproofing. Unsafe conditions may require a setup change or cancellation under the agreed terms. Each party remains responsible for its own negligence or intentional misconduct.
8. Acceptance
By signing electronically, the Customer confirms that they reviewed the accepted quote and this agreement, including any package-specific equipment terms. An electronic typed signature is intended as a signature. Each party should retain a copy of the signed agreement and accepted quote.
